Making Data-Driven Decisions Without a Data Team

Data Paralysis Is Worse Than No Data

Small businesses often face two extremes: making decisions purely on gut feel, or drowning in dashboards without knowing what to act on. Both are failure modes. The sweet spot is a small set of metrics you actually check, combined with the discipline to let them influence decisions.

The most data-mature small businesses we work with track fewer than ten metrics. But they track them consistently, review them weekly, and have clear thresholds for action.

The Minimum Viable Dashboard

Revenue metrics. Monthly recurring revenue, average deal size, and revenue per customer. These three numbers tell you whether your business is growing, whether you're attracting the right customers, and whether you're capturing enough value.

Efficiency metrics. Customer acquisition cost and time-to-close. These tell you whether your growth is sustainable. Growing revenue while CAC climbs faster is a path to running out of money with impressive-looking charts.

Health metrics. Customer churn rate and Net Promoter Score. These are your early warning system. Revenue can mask problems for months — churn and satisfaction scores surface them immediately.
